Section 01

Privacy Policy

PipaBoy Coaching ("we", "us", "our") respects your privacy. This policy explains what we collect, how we use it, and the choices you have. By using our website or booking a session, you agree to the terms below.

Information We Collect

  • Contact details — name, email, phone number, and anything you share in our contact form or scheduling system.
  • Session content — notes, context, and personal details you share during private or team coaching sessions.
  • Payment information — processed by third-party providers (e.g. Venmo, Square). We do not store payment credentials on our servers.
  • Technical data — basic analytics such as browser type, device, and pages visited, used to improve the site.

How We Use Your Information

  • To schedule, deliver, and follow up on your coaching sessions.
  • To respond to inquiries and provide customer support.
  • To process payments and send receipts.
  • To improve our services and website experience.

Confidentiality

Everything shared during a coaching session stays strictly between you and your coach. We do not sell, rent, or share your personal information with third parties for marketing purposes. Limited exceptions apply only when required by law or to prevent serious harm.

Data Storage & Security

Your information is stored on secure, access-controlled systems. While no online service can guarantee absolute security, we apply reasonable safeguards to protect your data and limit access to authorized personnel only.

Third-Party Services

We use trusted providers for scheduling (Cal.com), form submissions, and payments. These services have their own privacy policies, and your interaction with them is governed by those terms.

Your Rights

You may request access to, correction of, or deletion of your personal information at any time. To make a request, email us at contact@pipaboy.com.

Cookies

The site may use cookies or similar technologies for basic functionality and analytics. You can disable cookies in your browser settings — some features may not work fully if you do.

Changes to This Policy

We may update this policy from time to time. The "Last updated" date at the top of the page reflects the most recent revision.

Section 02

Terms of Service

Effective Date: 01/01/2026

These Terms of Service ("Terms") govern your access to and use of all services provided by PIPABOY ("Company," "we," "us," or "our"), including emotional coaching, relationship guidance, family support, executive emotional support, corporate consulting, and related non-clinical services.

By purchasing, booking, or participating in any PIPABOY services, you agree to these Terms.

1. Service Scope

PIPABOY provides emotional coaching, emotional support, consulting, relationship guidance, family support, workplace emotional wellness consulting, and personal development services.

PIPABOY does not provide psychotherapy, psychiatric treatment, medical advice, legal services, HR services, or licensed mental health treatment.

Our services are non-clinical and are intended for coaching, support, and personal growth only.

2. Client Eligibility

You must be at least 18 years old to use PIPABOY services unless written parental or legal guardian consent is provided where legally permitted.

By using our services, you confirm that you are legally able to enter into this agreement.

3. Payment Terms

All fees must be paid in full before services begin unless otherwise agreed in writing.

Packages, retainers, and workshops may require advance payment.

Failure to complete payment may result in suspension or cancellation of services.

4. No Refund Policy

All sales are final.

No refunds will be issued for completed sessions, scheduled sessions, support packages, monthly retainers, workshops, prepaid services, missed appointments, or partially completed programs unless explicitly approved by PIPABOY in writing.

While payments are non-refundable, paid sessions may be rescheduled at no additional cost when the request is made at least 24 hours before the scheduled session. Rescheduling is subject to availability.

Rescheduling requests made less than 24 hours before the session, as well as missed appointments and no-shows, will be treated as completed sessions and are not eligible for refund, credit, or replacement.

Each booking may be rescheduled up to two times. Beyond that, a new booking and payment are required.

Multi-session packages, retainers, and prepaid programs follow the same rescheduling terms on a per-session basis. Unused sessions within a package are non-refundable and non-transferable to another person without written approval from PIPABOY.

5. Cancellation & Rescheduling

Client cancellations and rescheduling are subject to the official PIPABOY Cancellation Policy.

Late cancellations, missed appointments, and no-shows may be treated as completed sessions.

6. Client Responsibility

Clients remain fully responsible for all personal decisions, relationship outcomes, financial decisions, workplace decisions, family matters, and life outcomes.

PIPABOY does not guarantee specific results.

All services are provided for informational and emotional support purposes only.

7. Limitation of Liability

To the fullest extent permitted by law, PIPABOY shall not be liable for any direct, indirect, incidental, consequential, financial, emotional, personal, business-related, family-related, or relationship-related damages resulting from participation in our services.

Participation is voluntary and at the client's own risk.

8. Right to Refuse or Terminate Service

PIPABOY reserves the right to refuse, suspend, or terminate services at any time if:

  • services fall outside our professional scope
  • clinical or psychiatric care is required
  • abusive behavior occurs
  • legal or safety concerns arise
  • payment obligations are not met

9. Governing Law

These Terms shall be governed by and interpreted under the laws of the State of California.

Any disputes arising from these services shall be resolved in California.

10. Agreement

By purchasing, booking, or participating in PIPABOY services, you acknowledge that you have read, understood, and agreed to these Terms of Service.

Section 03

Cancellation Policy

Effective Date: 01/01/2026

This Cancellation Policy applies to all emotional coaching sessions, consultations, family support sessions, relationship guidance, executive coaching, workshops, and corporate consulting services provided by PIPABOY.

1. Standard Rescheduling

Clients may request to reschedule a session with at least 24 hours' advance notice.

Rescheduling is subject to availability.

2. Late Cancellation

Cancellations made less than 24 hours before the scheduled session may be treated as a completed session and may not be eligible for refund or rescheduling.

3. No-Show Policy

Failure to attend a scheduled session without prior notice will be considered a completed session.

No refund, credit, or replacement session will be provided.

4. Corporate Workshops

For team workshops, onsite sessions, and corporate consulting:

  • cancellations made less than 72 hours before the scheduled date may be charged in full
  • preparation fees and reserved time are non-refundable

5. Emergency Exceptions

Emergency exceptions may be considered at the sole discretion of PIPABOY and must be approved in writing.

Approval is not guaranteed.

6. Repeated Cancellations

Repeated late cancellations, missed appointments, or scheduling abuse may result in termination of services.

7. Final Authority

PIPABOY reserves final discretion regarding scheduling, cancellation decisions, and session replacement approvals.

Section 04

Communication Policy

Effective Date: 01/01/2026

This Communication Policy defines boundaries for communication outside scheduled sessions.

1. Business Hours

Standard response time for messages, emails, and non-urgent communication is typically within 24–48 business hours.

Responses are not guaranteed on weekends, holidays, or outside normal business hours.

2. No 24/7 Support

PIPABOY does not provide unlimited, on-demand, or 24/7 emotional support.

Texting, messaging, and email access do not replace scheduled coaching sessions.

3. Emergency Communication

Clients must not use text messages, email, social media, or direct messaging for emergencies, crisis situations, suicidal thoughts, psychiatric emergencies, or urgent safety concerns.

Emergency situations must be directed to 911 or licensed emergency providers immediately.

4. Professional Boundaries

Communication must remain respectful and professional.

Abusive, manipulative, threatening, or inappropriate communication may result in immediate termination of services.

5. Between-Session Support

If a support package includes between-session communication, the scope of that support will be defined in writing.

Reasonable boundaries still apply.

Unlimited access is not included unless explicitly stated in writing.

6. Personal Boundaries

PIPABOY reserves the right to maintain clear professional boundaries regarding response times, availability, scheduling limits, and communication channels.

These boundaries exist to protect both service quality and professional integrity.

Section 05

Mandatory Waiver Signature Policy

Effective Date: 01/01/2026

This policy applies to all individual clients, couples, families, corporate clients, leadership teams, workshops, team sessions, and all services provided by PIPABOY.

1. Mandatory Waiver Requirement

Before any consultation, coaching session, workshop, team session, emotional support service, or corporate engagement begins, a signed PIPABOY Waiver & Consent Form is required.

No services will be provided without a completed and signed waiver.

This requirement applies to:

  • individual clients
  • couples
  • family sessions
  • private emotional coaching
  • executive coaching
  • founder support
  • leadership consulting
  • corporate workshops
  • team emotional wellness sessions
  • all corporate consulting services

Booking confirmation does not replace waiver completion.

Service access begins only after waiver approval.

2. Individual Clients

For personal services, the individual client receiving services must personally review and sign the required waiver before the first session.

No exceptions apply.

3. Corporate & Team Clients

For corporate services, team sessions, workshops, and leadership consulting, the company must appoint one authorized representative ("Company Representative").

This representative will:

  • review and sign the required corporate waiver
  • confirm authority to act on behalf of the company
  • serve as the primary contact person
  • handle scheduling, approvals, payment coordination, and communication
  • accept responsibility for internal coordination and participant awareness

PIPABOY will communicate through the designated Company Representative regarding all official matters related to the engagement.

4. Representative Responsibility

The Company Representative is responsible for ensuring internal participants understand the scope and nature of services provided.

PIPABOY is not responsible for internal company communication failures, employee misunderstandings, or unauthorized participation concerns after the waiver has been signed by the authorized representative.

All legal, operational, and administrative responsibility remains with the company and its designated representative.

5. Refusal to Sign

If a client or company refuses to complete the required waiver, PIPABOY reserves the absolute right to decline, postpone, suspend, or terminate services immediately.

No exceptions will be made.

6. Legal Effect

The signed waiver serves as a required legal condition for participation in PIPABOY services.

Participation in any session without a completed waiver is not permitted.

Clients and companies acknowledge that signing the waiver is a mandatory condition of service access.
